Who we are

ReachCrew ("ReachCrew", "we", "us" or "our") provides software that helps agencies and sales teams run LinkedIn outreach from multiple accounts. For the purposes of applicable data protection law, ReachCrew is the controller of the personal information described in this policy, except where we process information on behalf of a customer.

Information we collect

Information you give us

When you create an account, book a demo or contact us, we collect details such as your name, email address, company, role, password and any information you include in your messages to us.

LinkedIn account and campaign information

When you connect a LinkedIn account to ReachCrew, we receive the information needed to operate that connection and run your campaigns. This can include your LinkedIn profile details, connections, invitations, messages, replies and the settings you choose for each account.

Lead information

You can import leads from LinkedIn search, Sales Navigator or a CSV file. The information you import may include names, profile URLs, job titles, companies, locations, custom fields and notes. You decide what to import and are responsible for having a lawful basis to contact those people.

Payment information

Payments are processed by Stripe. Stripe receives your payment details and we receive limited billing information, such as your plan, billing status and the last four digits of your card. We do not store full card numbers.

Usage and technical information

We collect information about how you use the service, such as IP address, browser and device type, pages viewed, actions taken, error logs and timestamps. We use this information to keep the service secure, reliable and useful.

AI features

If you use AI-assisted features, such as tailored opening lines, the content you provide and the relevant lead details may be sent to our AI provider so that it can generate a suggestion. We do not use your content to train a public AI model.

Cookies and similar technologies

The ReachCrew app uses essential cookies and local storage to keep you signed in, remember your preferences and protect your account. The marketing site does not use advertising or analytics cookies.

Our marketing site loads fonts from Google Fonts, which means Google receives your IP address when the fonts are requested. Payments are hosted by Stripe, which may use its own cookies as described in Stripe's privacy policy.

You can block or delete cookies in your browser settings. Blocking essential cookies may prevent parts of the service from working.

How we use information

• To create and manage your account, workspace and LinkedIn connections.
• To run campaigns, deliver messages, collect replies and show conversations in your inbox.
• To process payments, manage subscriptions and send billing notices.
• To provide customer support and respond to your questions.
• To keep the service secure, prevent abuse, enforce our terms and troubleshoot problems.
• To understand how the service is used so that we can improve it.
• To send service updates and, where you have opted in, marketing messages. You can opt out of marketing at any time.
• To comply with legal obligations and respond to lawful requests.

Legal bases for processing

Where the EU or UK General Data Protection Regulation applies, we rely on the following legal bases:

• Contract: processing needed to provide the service you have signed up for.
• Legitimate interests: processing that is necessary for our legitimate interests, such as securing the service, preventing abuse and improving our product, where those interests are not overridden by your rights.
• Consent: processing that you have agreed to, such as optional marketing. You can withdraw consent at any time.
• Legal obligation: processing needed to comply with the law.

How we share information

We do not sell your personal information. We share it only in the following circumstances:

• Service providers. Companies that help us host the service, process payments, deliver email, provide customer support and power AI features. They can use the information only to provide those services to us.
• Your workspace. People you invite to a workspace can see the information in that workspace, according to their role.
• Your clients. If you give a client read-only or other access, they can see the information you have made available to them.
• Legal and safety. We may disclose information if required by law or if we believe disclosure is necessary to protect rights, safety or the integrity of the service.
• Business changes. If ReachCrew is involved in a merger, acquisition, financing or sale of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality protections.

Your LinkedIn data and third-party platforms

LinkedIn is an independent third party. ReachCrew is not affiliated with or endorsed by LinkedIn, and your use of LinkedIn is governed by LinkedIn's own terms and privacy policy. When you connect an account, we access the information you authorize and use it to provide the service.

If you use ReachCrew on behalf of a client, that client may control the workspace and the lead data in it. Contact the client first about requests to access, correct or delete that data. We will help them respond.

International transfers

We and our service providers may process information in countries other than the one where you live. Where required, we use appropriate safeguards for those transfers, such as standard contractual clauses approved by the European Commission or the UK Information Commissioner.

Data retention

We keep personal information for as long as your account is active and for as long as we need it to provide the service, comply with legal obligations, resolve disputes and enforce our agreements. When information is no longer needed, we delete it or aggregate it so that it no longer identifies you. Backup copies may take longer to disappear from our systems.

Security

We use technical and organizational measures designed to protect personal information, including encryption in transit, access controls and monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Tell us promptly if you believe your account has been compromised.

Your privacy rights

Depending on where you live, you may have the right to:

• Access the personal information we hold about you.
• Correct inaccurate information.
• Delete information, subject to legal exceptions.
• Receive a portable copy of information you provided to us.
• Restrict or object to certain processing, including direct marketing.
• Withdraw consent where processing is based on consent.
• Lodge a complaint with your local data protection authority.

California residents

If you are a California resident, you may have the right to know what personal information we collect, use and disclose; to request deletion or correction; to opt out of the sale or sharing of personal information; and to limit the use of sensitive personal information. Children

ReachCrew is a business tool and is not directed to anyone under 16. We do not knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. When we do, we will post the new version on this page and update the date above. If a change is material, we will notify you by email or by a notice in the service before it takes effect.
